Straight answers about how Vision works, what it does not do, and how your data is protected. If something is not covered here, ask us directly.

Getting started

How do we start using Vision?

Through a conversation, not a sign-up form. We set up your workspace with your portfolio structure, intake questions, and roles before your team logs in, so the first thing they see already fits how you work.

Why is there no self-service sign-up?

Because a portfolio tool configured badly is worse than the spreadsheet it replaced. While we are building out the investment decision features, we are onboarding every client directly so the setup is right and we can support it properly.

How long does setup take?

Most workspaces are ready within days rather than weeks. The variable is not the software — it is how settled your portfolio structure and decision rights already are. If those are unclear, that conversation is worth having before the tool is configured.

What do you need from us to get started?

Your portfolio structure, the roles who decide what, and a list of the work currently in flight. If any of those are unclear, that is a normal starting point and part of what we help with.

How it works

What actually happens to a request?

Someone raises an opportunity through one form. It is screened for fit and urgency, assessed against benefits, cost, and risk, then approved, deferred, reshaped, or stopped. Approved work converts into a project and is tracked through delivery, with the decision record kept alongside it.

Does everyone see everything?

No. Access follows your portfolio structure and each person's role. Someone raising a request sees their own work; reviewers see what they review; leadership sees the portfolio. Financial detail is a separate permission again.

Can we use our own terminology?

Yes. Portfolio levels, reporting groups, opportunity types, and role labels are all named by you. Vision should read like your organisation, not like a vendor's data model.

Does Vision replace Jira, ServiceNow, or our finance system?

No, and it should not try to. Those systems stay authoritative for delivery detail, service management, and the ledger. Vision is the layer above them where investment decisions are made and recorded.

Can we get our data out?

Yes. Reports and data files export as CSV, and an executive brief exports as a formatted document. Your data is yours.

Security and data

How is our data kept separate from other clients?

Every workspace is isolated at the database level, not just in the application. Each query runs under your workspace's identity, and the database itself refuses to return another organisation's rows even if the application asks. We test this continuously, including by simulating a forged identity.

Who at ClarityArc can see our data?

Nobody by default. Support access is granted deliberately, is scoped, and is recorded in the audit trail alongside every other action taken in your workspace.

Is there an audit trail?

Yes. Decisions, changes, access grants, and exports are all recorded with who did what and when. That record is what makes a portfolio defensible when someone asks how a decision was made.

Where is our data hosted?

On managed infrastructure with encryption in transit and at rest. If you have specific residency or procurement requirements, raise them early and we will tell you plainly whether we can meet them.

How do people sign in?

By email verification, with no password to manage or leak. Single sign-on is available for organisations that need it.

Fit and scope

Who is Vision for?

Organisations with more technology and capital demand than they can fund or deliver, and a leadership team that has to choose between them. It is most useful where those choices currently happen in spreadsheets and meetings with no durable record.

Is this only for IT?

No. The same discipline applies to transformation programmes, capital projects, and asset renewal. The decision process is shared; the evidence expected of a software change and a construction project is not, and Vision is being built to reflect that.

We already have a PMO. Does this replace it?

No. A PMO largely tracks delivery. Vision is about the decision that comes before delivery and the value that should come after it. Most PMOs find it answers questions they are regularly asked but have no system for.

What is coming next?

Staged funding decisions with conditions, a benefits register with named owners and baselines, capacity constraints, and portfolio scenarios. We are building these in order, with clients, rather than announcing them all at once.
